WigMD Affiliate Program Policy
Effective Date: January 1, 2024
This Salon Partnership Policy explains the terms, expectations, and requirements for salons, stylists, hair professionals, beauty professionals, and approved business partners who participate in the WigMD Salon Partner Program.
By applying for, enrolling in, purchasing through, promoting, referring clients to, or participating in the WigMD Salon Partner Program, you agree to this Salon Partnership Policy and all other WigMD policies, including our Terms & Conditions, Wig Purchase Policy, Shipping Policy, Refund & Exchange Policy, Warranty Policy, Payment Policy, Wig Repair Policy, and Brand Representation Standards.
Program Purpose
The WigMD Medical Provider Partner Referral Program is designed to help patients experiencing medical hair loss access compassionate support, high-quality wigs, medical wigs, cranial prostheses, wig education, and related resources.
The purpose of this program is to support patient access, education, and continuity of care. It is not intended to influence medical judgment, create improper financial incentives, or replace the patient’s right to choose their preferred wig provider.
Eligible Medical Provider Partners
This program may be available to qualified healthcare professionals, practices, clinics, and organizations, including:
- Physicians
- Dermatologists
- Oncologists
- Plastic surgeons
- Psychiatrists or mental health providers supporting hair-loss-related distress
- Nurse practitioners
- Physician assistants
- Nurses
- Social workers
- Patient navigators
- Cancer centers
- Dermatology clinics
- Hospitals
- Medical offices
- Therapy practices
- Community health organizations
- Other approved healthcare or patient-support professionals
Participation is subject to WigMD review and approval.
Application and Approval
Submitting an application does not guarantee acceptance into the WigMD Medical Provider Partner Referral Program.
WigMD may request information before approving participation, including:
- Provider or practice name
- Primary contact name
- Medical specialty
- Business or clinic address
- Phone number
- Email address
- Website
- Professional license information, if applicable
- Practice type
- Patient population served
- Referral support needs
- Interest in medical wigs, cranial prostheses, patient education, or documentation support
WigMD reserves the right to approve, deny, suspend, or terminate provider participation at our discretion.
No Referral Fees, Commissions, or Kickbacks
WigMD does not pay medical providers, healthcare practices, clinic staff, or healthcare organizations commissions, referral fees, kickbacks, gifts, rewards, or compensation in exchange for patient referrals.
Medical provider partners may not request, accept, or expect payment or anything of value in exchange for referring patients to WigMD.
This program is intended for patient education and access support only.
No provider may receive compensation based on:
- Number of patients referred
- Value of patient purchases
- Insurance approval
- Medical wig purchase
- Cranial prosthesis purchase
- Patient consultation booking
- Patient conversion to sale
- Repeat purchases
- Any other referral-based metric
Patient Choice
Patients have the right to choose where they purchase a wig, medical wig, cranial prosthesis, or related product.
Medical providers should not pressure, require, or direct a patient to use WigMD as the only option.
Providers may share WigMD as a resource, but patients remain free to choose:
- WigMD
- Another wig provider
- A local salon
- A cranial prosthesis provider
- A nonprofit support program
- No wig or prosthesis option
WigMD does not require exclusivity from medical providers or patients.
Patient Discounts and Support
WigMD may offer patient discounts, promotional support, consultation support, or access resources when available.
Any patient discount must be offered directly to the patient and must comply with WigMD program terms and applicable law.
Patient discounts may not be:
- Paid to the medical provider
- Shared as compensation to the referring practice
- Used as a provider reward
- Exchanged for referrals
- Represented as guaranteed insurance coverage
- Used to pressure patients into purchasing
WigMD reserves the right to modify, limit, pause, or discontinue patient discounts or support programs at any time.
Referral Process
Medical provider partners may refer patients to WigMD by sharing approved contact information, website links, brochures, educational materials, or referral instructions.
Referral methods may include:
- Providing the patient with WigMD contact information
- Directing the patient to www.wigmd.com
- Sharing an approved WigMD referral form
- Sharing approved patient education materials
- Encouraging the patient to contact WigMD directly
- Sending documentation only with proper patient authorization and according to applicable privacy requirements
Providers should not submit sensitive patient information to WigMD unless appropriate authorization, consent, or legal permission is in place.
Patient Information and Privacy
Medical provider partners are responsible for protecting patient privacy and following all applicable privacy laws, professional rules, and internal clinic policies.
Before sharing patient information with WigMD, providers should ensure they have appropriate permission or authorization when required.
Patient information may include:
- Patient name
- Contact information
- Diagnosis information
- Prescription information
- Medical hair loss documentation
- Insurance information
- Photos
- Measurements
- Treatment-related information
- Any other health-related information
WigMD will make reasonable efforts to handle received information carefully and only for the purpose of assisting with patient wig, cranial prosthesis, consultation, or order support.
HIPAA-Conscious Workflow
Medical provider partners should use a HIPAA-conscious workflow when referring patients or communicating with WigMD.
Providers should:
- Avoid sending unnecessary protected health information.
- Share only the minimum information needed for the patient’s request.
- Obtain written patient authorization when required.
- Use secure communication methods when possible.
- Avoid sending diagnosis details through unsecured channels unless permitted by their compliance policies.
- Confirm patient consent before sharing photos, documents, measurements, or medical details.
- Avoid posting or sharing patient stories publicly without written permission.
- Follow their organization’s HIPAA and privacy procedures.
If a business associate agreement or additional privacy agreement is required, it must be reviewed and approved before protected health information is exchanged in a manner requiring such agreement.
Medical Documentation Support
WigMD may assist patients with general documentation guidance for medical wig or cranial prosthesis orders.
Documentation may include:
- Prescription wording support
- Cranial prosthesis terminology
- Order invoices
- Product descriptions
- Receipts
- Medical wig information
- General insurance-support resources
WigMD does not guarantee that any documentation will result in insurance approval, reimbursement, or payment.
Patients should contact their insurance company, benefits administrator, or healthcare provider for coverage questions.
No Medical Advice
WigMD does not provide medical advice, diagnosis, treatment, or medical decision-making.
Information provided by WigMD is for general educational and product-support purposes only.
Medical providers remain responsible for all medical care, clinical judgment, diagnosis, treatment recommendations, and patient counseling.
Patients should consult their medical provider for medical questions related to hair loss, scalp conditions, treatment options, medications, surgery, mental health, or any health-related concern.
No Insurance Guarantee
WigMD may provide general support related to medical wigs, cranial prostheses, invoices, receipts, and documentation.
However, WigMD does not guarantee:
- Insurance approval
- Insurance reimbursement
- Medical necessity approval
- Claim approval
- Out-of-network reimbursement
- HSA/FSA eligibility
- Prescription acceptance
- Coverage under any health plan
- Payment by Medicare, Medicaid, private insurance, or any third-party payer
Patients are responsible for confirming coverage with their insurance provider before purchasing.
Approved Use of WigMD Materials
Medical provider partners may use WigMD-approved brochures, flyers, website links, educational materials, and patient resources for patient education.
Approved materials may not be:
- Edited without permission
- Rebranded without permission
- Used in misleading ways
- Used to imply medical endorsement beyond the approved partnership
- Used to guarantee insurance coverage
- Used to guarantee patient outcomes
- Used after partnership termination
- Used in paid advertising without written approval
All WigMD logos, graphics, educational materials, and brand assets remain the property of WigMD.
Provider Representation Standards
Medical provider partners must represent WigMD accurately and professionally.
Providers may not:
- Claim WigMD is the only option for patients
- Guarantee product results
- Guarantee medical outcomes
- Guarantee insurance approval
- Misrepresent processing times
- Misrepresent refund eligibility
- Misrepresent warranty coverage
- Misrepresent custom order timelines
- Promise discounts not approved by WigMD
- Promise free products unless approved by WigMD
- Use WigMD branding without permission
- Accept compensation for patient referrals
- Make claims WigMD has not approved
Patient Education
Medical provider partners may educate patients about WigMD resources and medical wig options.
Education may include general information about:
- Medical wigs
- Cranial prostheses
- Hair loss support
- Wig consultations
- Wig measurements
- Wig care
- Insurance documentation questions
- Product options
- Custom wig timelines
- Ready-to-ship wig options
- Patient confidence and dignity
Providers should direct patients to WigMD for official product details, processing timelines, pricing, consultations, order questions, warranty questions, repair questions, and customer service support.
WigMD Product Categories
WigMD offers several product and service categories that may support referred patients.
These may include:
- WigMD Express / Ready-to-Ship wigs
- Oak by WigMD made-to-order pieces
- WigMD Artisan Custom wigs
- Medical wigs
- Cranial prostheses
- Wig consultations
- Wig repair services
- Wig spa services
- Hair care products
- Accessories
- Patient education resources
All purchases are subject to WigMD’s product descriptions and applicable policies.
WigMD Express / Ready-to-Ship Orders
WigMD Express and ready-to-ship units are processed and shipped within 1 business day, unless otherwise stated on the product page.
Because these orders move quickly, changes and cancellations cannot be guaranteed once processing begins.
Oak by WigMD Orders
Oak by WigMD pieces are made-to-order signature styles with limited customization.
Oak by WigMD orders are processed within 7–14 business days before shipping, unless otherwise stated on the product page.
Because Oak by WigMD pieces are made-to-order or prepared according to selected options, changes, cancellations, refunds, and exchanges may be limited once processing, styling, customization, or preparation has begun.
WigMD Artisan Custom Orders
WigMD Artisan Custom wigs go through a multi-step journey to ensure quality, precision, and a personalized result.
Processing time depends on the selected Build Path:
- Signature Journey: 8–12 weeks
Full customization and design guidance. - Priority Path: 8–10 weeks
Streamlined customization with a faster production timeline. - Express Route: 6–8 weeks
The fastest custom build option while maintaining premium quality.
Processing begins after:
- Consultation
- Fit confirmation
- Final order approval
- Required payment or deposit
- Confirmation of selected customization details
Because Artisan Custom wigs are made specifically for the patient or client, they may not be eligible for refund, exchange, cancellation, or store credit once consultation, fit confirmation, materials ordering, customization, production, or processing has begun.
Referrals Are Not Orders
A referral does not create an order, guarantee product availability, reserve inventory, or start processing.
An order begins only when the patient or customer completes WigMD’s purchase, consultation, invoice, or approval process as required.
Processing begins according to the product type and applicable WigMD policy.
Payment and Billing
Patients are responsible for payment unless otherwise approved in writing by WigMD.
WigMD may accept payment methods shown at checkout or approved through invoice.
Medical provider partners are not responsible for patient payment unless they are purchasing directly on behalf of the patient under a separate written agreement.
WigMD reserves the right to verify payment, billing information, shipping information, and order details before processing or shipping an order.
Refunds, Exchanges, and Warranty
All patient purchases are subject to WigMD’s Refund & Exchange Policy, Warranty Policy, Wig Purchase Policy, Payment Policy, and Shipping Policy.
Medical provider partners may not promise:
- Refund approval
- Exchange approval
- Warranty approval
- Repair approval
- Replacement approval
- Store credit approval
- Cancellation approval
WigMD reserves the right to make the final decision on all refunds, exchanges, warranty claims, repairs, cancellations, and order concerns.
Wig Repairs and Wig Spa Referrals
Medical provider partners may refer patients to WigMD for wig repair, wig spa, restoration, or maintenance services.
All repair requests must be approved by WigMD before any wig is shipped, dropped off, or submitted for service.
Repair results are not guaranteed and may vary based on wig condition, age, materials, prior care, and repair feasibility.
No Unauthorized Advertising
Medical provider partners may not advertise WigMD products, services, discounts, or patient offers without written approval from WigMD.
Unauthorized advertising includes:
- Paid ads using the WigMD name
- Paid ads using WigMD trademarks
- Unapproved landing pages
- Unapproved patient discounts
- False or misleading medical claims
- False insurance claims
- Claims of guaranteed reimbursement
- Claims of exclusive medical endorsement
- Use of WigMD logos without permission
- Use of WigMD photos or materials without permission
Independent Relationship
Medical provider partners are independent professionals, practices, or organizations.
Participation in the program does not create:
- Employment
- Agency
- Franchise relationship
- Legal partnership
- Joint venture
- Ownership interest
- Authority to bind WigMD
- Authority to make promises on behalf of WigMD
Medical provider partners may not represent that they are WigMD employees, WigMD locations, WigMD medical directors, or authorized agents unless WigMD provides written approval.
Compliance Responsibility
Medical provider partners are responsible for complying with all laws, regulations, licensing rules, professional standards, privacy requirements, billing rules, and ethical obligations that apply to their practice or organization.
This may include rules related to:
- Patient privacy
- Medical documentation
- Referral practices
- Advertising
- Professional licensing
- Conflicts of interest
- Insurance billing
- Patient communications
- Anti-kickback and referral laws
- State healthcare regulations
WigMD is not responsible for a provider’s internal compliance, billing, documentation, or referral obligations.
Confidential Information
Medical provider partners may receive non-public WigMD information, including educational materials, product information, partner resources, patient support processes, internal procedures, pricing resources, or program details.
Confidential WigMD information may not be:
- Shared publicly without permission
- Sold
- Copied into another brand’s materials
- Used to create competing materials
- Shared with competitors
- Misused for unauthorized advertising
- Used after partnership termination
Program Changes
WigMD may update, modify, pause, or discontinue the Medical Provider Partner Referral Program at any time.
Changes may apply to:
- Eligibility
- Patient discounts
- Referral process
- Educational materials
- Documentation support
- Program requirements
- Privacy procedures
- Approved brand materials
- Product availability
- Provider listing status
- Partnership terms
Continued participation after program updates means the provider partner accepts the updated terms.
Suspension or Termination
WigMD may suspend or terminate a medical provider partner’s participation at any time.
Reasons may include:
- Policy violations
- Privacy concerns
- Misrepresentation
- Unauthorized advertising
- Improper referral practices
- Requesting or accepting referral compensation
- False insurance claims
- False medical claims
- Patient complaints
- Brand misuse
- Confidentiality violations
- Fraud concerns
- Unprofessional conduct
- Any conduct WigMD determines may harm patients, WigMD, or the WigMD brand
Upon termination, the provider must stop using WigMD partner materials, approved referral materials, branding, patient discount references, and any other program benefits unless otherwise approved in writing.
Limitation of Liability
To the fullest extent permitted by law, WigMD is not responsible for indirect, incidental, special, consequential, or punitive damages related to provider participation, patient referrals, insurance outcomes, reimbursement decisions, patient purchases, third-party services, or provider communications.
WigMD is not responsible for a provider’s medical advice, clinical decisions, documentation decisions, patient communications, billing practices, or compliance obligations.
Final Decision
WigMD reserves the right to make the final decision on provider partner eligibility, patient discount availability, referral acceptance, product support, documentation support, brand use, warranty eligibility, repair eligibility, and program participation.
