WigMD Medical Provider Partner Referral Policy

This Medical Provider Partner Referral Policy explains the terms, expectations, and requirements for medical providers, healthcare practices, clinics, hospitals, care teams, and approved professional partners who refer patients to WigMD or participate in the WigMD Medical Provider Partner Referral Program.
By applying for, participating in, referring patients to, sharing WigMD resources, or communicating with WigMD about patient support, you agree to this Medical Provider Partner Referral Policy and all other applicable WigMD policies.
Program Purpose
The WigMD Salon Partner Program is designed to help salons and licensed beauty professionals better support clients who need high-quality wigs, medical wigs, cranial prostheses, wig care, wig repair, and related hair replacement support.
Through this program, eligible salon partners may receive access to:
- WigMD product education
- Medical wig and cranial prosthesis support resources
- Wig care guidance
- Wig repair and wig spa support
- Partner pricing or volume-based discounts
- Private label support, when approved
- Marketing support, when available
- Client referral support
- Product ordering assistance
- WigMD Academy resources
- Professional partnership opportunities
Participation in the program is subject to approval by WigMD.
Eligibility
The Salon Partner Program is intended for qualified salons, stylists, beauty professionals, wig professionals, hair replacement specialists, and approved business partners.
WigMD may request information before approving an application, including:
- Business name
- Owner or primary contact name
- Business address
- Email address
- Phone number
- Website or social media links
- Professional license information, if applicable
- Business tax information, if applicable
- Services offered
- Client base or specialty
- Expected order volume
- Interest in medical wigs, cranial prostheses, private label, wholesale, or client referrals
WigMD reserves the right to approve, deny, suspend, or terminate salon partner participation at our discretion.
Application Review
Submitting an application does not guarantee acceptance into the WigMD Salon Partner Program.
WigMD may approve, deny, delay, or request additional information for any application.
Reasons an application may be denied or delayed include:
- Incomplete application
- Inaccurate information
- Unverifiable business details
- Brand conflict
- Prior policy violations
- Fraud concerns
- Unauthorized resale concerns
- Misuse of WigMD branding
- Failure to meet program standards
- Any reason WigMD determines may affect brand integrity or customer experience
Partner Status
Salon partners are independent businesses and are not employees, agents, legal representatives, franchisees, joint venture partners, or owners of WigMD.
Participation in the Salon Partner Program does not create:
- Employment
- Agency
- Franchise relationship
- Joint venture
- Legal partnership
- Ownership interest
- Authority to bind WigMD
- Authority to make promises on behalf of WigMD
Salon partners may not represent that they are WigMD employees, WigMD locations, WigMD medical providers, or authorized representatives unless WigMD gives written approval.
Partner Discounts and Pricing
Approved salon partners may be eligible for partner pricing or sliding discounts based on total monthly order volume.
Partner discounts may vary based on:
- Monthly order volume
- Product type
- Program tier
- Account standing
- Product availability
- Promotional restrictions
- Private label eligibility
- WigMD approval
Salon partner discounts may range from 10%–30% depending on volume, unless WigMD approves different terms in writing.
Discounts are not guaranteed and may be changed, paused, limited, or discontinued at WigMD’s discretion.
Discount Rules
Partner discounts are intended for approved salon partner business use only.
Partner discounts may not be:
- Shared publicly
- Posted online without approval
- Sold
- Transferred
- Used by unauthorized individuals
- Used for self-referrals
- Used for fraudulent orders
- Combined with other offers unless approved
- Applied retroactively after checkout unless approved by WigMD
- Used in a way that violates WigMD policies
WigMD reserves the right to revoke discounts, cancel orders, suspend accounts, or terminate partnerships for misuse.
Client Referrals
Salon partners may refer clients to WigMD for wigs, medical wigs, cranial prostheses, custom units, wig spa services, repairs, consultations, or product support.
Salon partners must provide accurate information and must not pressure clients into purchasing.
Client referrals must be handled in a professional, honest, and ethical manner.
Salon partners may not guarantee:
- Product availability
- Insurance approval
- Medical reimbursement
- Delivery date
- Custom wig completion date
- Refund eligibility
- Warranty approval
- Specific fit or outcome
- Medical results
- Hair growth results
All purchases are subject to WigMD policies.
Referral Commissions, If Applicable
If WigMD approves a referral commission arrangement for a salon partner, commission terms must be provided or confirmed by WigMD in writing.
Referral commissions, when applicable, are paid only on eligible completed sales.
A completed sale means:
- The customer completed payment.
- The order was accepted by WigMD.
- The order was not canceled.
- The order was not refunded.
- The order was not charged back.
- The order was not fraudulent.
- The sale met all program requirements.
- The required commission holding period has passed.
WigMD reserves the right to determine commission eligibility.
30-Day Commission Hold Period
All new orders are subject to a 30-day holding period before any commission payment is issued.
This holding period allows WigMD to confirm that there are no payment, order, or processing issues before commission is paid.
The 30-day holding period allows WigMD to review for:
- Chargebacks
- Refunds
- Cancellations
- Payment reversals
- Fraud concerns
- Processing issues
- Order disputes
- Policy violations
- Returned or rejected payments
- Failed payment verification
- Customer order concerns
- Any other issue that may affect commission eligibility
The 30-day hold begins after the customer’s order is placed and payment is successfully processed.
Commission will only be considered payable after the 30-day holding period has passed and WigMD confirms that the order remains eligible.
If a refund, cancellation, chargeback, payment dispute, payment reversal, fraud concern, order dispute, or other processing issue occurs during or after the holding period, the commission may be delayed, denied, reversed, withheld, or deducted from future commission payments.
WigMD reserves the right to determine commission eligibility, payment timing, and whether an order qualifies as a completed sale.
Commission Payment Conditions
Commission payments, when applicable, may be withheld, delayed, denied, reversed, or deducted from future payments if:
- The customer requests a refund.
- The order is canceled.
- The payment is reversed.
- The customer files a chargeback.
- The order is disputed.
- Fraud is suspected.
- The order violates WigMD policy.
- The referral violates program rules.
- The order was created through self-referral.
- The order was not properly tracked or verified.
- The customer payment does not fully clear.
- The sale is not considered completed by WigMD.
WigMD is not required to pay commission on orders that are refunded, canceled, charged back, reversed, disputed, fraudulent, or otherwise ineligible.
Self-Referrals Prohibited
Self-referrals are prohibited.
Salon partners may not earn referral credit, commission, rewards, or special program benefits for:
- Their own purchases
- Purchases made under another name for their benefit
- Purchases by their business using a referral link intended for clients
- Artificial referrals
- Fraudulent referrals
- Orders placed only to trigger commission or rewards
- Orders that violate WigMD policies
WigMD may deny commission, reverse rewards, cancel orders, suspend accounts, or terminate the partnership if self-referral activity is suspected.
Unauthorized Advertising Prohibited
Salon partners may not advertise WigMD products, services, discounts, or promotions without approval from WigMD.
Unauthorized advertising includes:
- Running paid ads using the WigMD name
- Running paid ads using WigMD trademarks
- Bidding on WigMD keywords
- Creating unauthorized landing pages
- Creating misleading promotional claims
- Advertising unapproved discounts
- Posting fake promotions
- Representing yourself as WigMD
- Using WigMD images without permission
- Using WigMD logos without permission
- Making medical, insurance, or reimbursement guarantees
- Advertising WigMD products on unauthorized marketplaces
Any approved advertising must follow WigMD brand standards and applicable laws.
Brand Representation Standards
Salon partners must represent WigMD professionally, accurately, and respectfully.
Salon partners must not:
- Make false claims about WigMD products
- Misrepresent WigMD processing times
- Misrepresent refund or exchange eligibility
- Misrepresent warranty coverage
- Misrepresent medical wig or insurance support
- Claim guaranteed insurance approval
- Claim guaranteed medical outcomes
- Use WigMD branding in a misleading way
- Alter WigMD logos without approval
- Use outdated product information
- Make promises WigMD has not approved
- Speak negatively or misleadingly about WigMD clients, customers, products, competitors, or partners
WigMD reserves the right to require correction or removal of any content that does not meet brand standards.
Approved Use of WigMD Branding
Salon partners may only use WigMD logos, images, product descriptions, graphics, training materials, brochures, or marketing content when approved by WigMD.
Approved brand materials may not be:
- Edited without permission
- Recolored without permission
- Cropped in a misleading way
- Used on unauthorized products
- Used to imply ownership of WigMD
- Used to create confusion between WigMD and the salon partner
- Used after the partnership ends
- Used in paid advertising without approval
All WigMD intellectual property remains the property of WigMD.
Product Information and Client Education
Salon partners are responsible for sharing accurate product information with clients.
This may include explaining:
- Wig type
- Cap construction
- Lace type
- Hair texture
- Hair color
- Density
- Length
- Processing time
- Shipping time
- Customization limits
- Maintenance needs
- Refund and exchange limits
- Warranty limits
- Proper care instructions
Salon partners should direct clients to WigMD for official product questions, medical wig questions, custom order questions, repair concerns, warranty claims, and policy questions.
Medical Wig and Cranial Prosthesis Support
WigMD supports clients with medical hair loss, medical wigs, and cranial prosthesis needs.
Salon partners may help clients understand product options, wig care, styling needs, and general support resources.
Salon partners may not provide medical advice unless legally qualified to do so.
Salon partners may not guarantee:
- Insurance approval
- Insurance reimbursement
- Medical necessity approval
- Prescription acceptance
- Claim approval
- Benefit eligibility
- Medical outcome
- Hair regrowth
- Treatment result
Clients should contact their medical provider, insurance company, or benefits administrator for medical and insurance-specific questions.
HIPAA-Conscious Workflow
Salon partners must treat client information with care and discretion.
When discussing medical wig needs, hair loss, cranial prostheses, or sensitive client details, salon partners should:
- Protect client privacy
- Avoid sharing client information publicly
- Avoid posting client photos without written permission
- Avoid discussing a client’s diagnosis without consent
- Use secure communication when possible
- Share only necessary information with WigMD
- Follow applicable privacy and professional standards
Salon partners are responsible for understanding and following any privacy laws, licensing rules, or professional obligations that apply to their own business.
Client Photos, Testimonials, and Social Media
Salon partners may not share client photos, videos, testimonials, medical information, or transformation content without proper client permission.
Any content featuring WigMD products must be honest, respectful, and consistent with WigMD brand standards.
Salon partners must not:
- Use before-and-after photos without permission
- Disclose medical hair loss without consent
- Edit photos in a misleading way
- Claim unrealistic results
- Use client content for ads without permission
- Tag WigMD in content that violates brand standards
- Use WigMD products in offensive or inappropriate content
WigMD may request removal of content that violates this policy.
Product Orders
Salon partner orders are subject to WigMD’s standard product, shipping, payment, refund, warranty, and purchase policies.
Salon partners are responsible for reviewing all order details before purchase, including:
- Product type
- Quantity
- Wig size
- Lace type
- Hair texture
- Hair color
- Length
- Density
- Cap construction
- Processing time
- Shipping method
- Final sale terms
- Customization details
WigMD reserves the right to cancel, delay, refuse, or modify orders that cannot be fulfilled, cannot be verified, or violate program terms.
WigMD Express Orders
WigMD Express and ready-to-ship units are processed and shipped within 1 business day, unless otherwise stated on the product page.
Because these orders move quickly, changes and cancellations cannot be guaranteed once processing begins.
Oak by WigMD Orders
Oak by WigMD pieces are made-to-order signature styles with limited customization.
Oak by WigMD orders are processed within 7–14 business days before shipping, unless otherwise stated on the product page.
Because Oak by WigMD pieces are made-to-order or prepared according to selected options, changes, cancellations, refunds, and exchanges may be limited once processing, styling, customization, or preparation has begun.
WigMD Artisan Custom Orders
WigMD Artisan Custom wigs go through a multi-step journey to ensure quality, precision, and a personalized result.
Processing time depends on the selected Build Path:
- Signature Journey: 8–12 weeks
Full customization and design guidance. - Priority Path: 8–10 weeks
Streamlined customization with a faster production timeline. - Express Route: 6–8 weeks
The fastest custom build option while maintaining premium quality.
Processing begins after:
- Consultation
- Fit confirmation
- Final order approval
- Required payment or deposit
- Confirmation of selected customization details
Because Artisan Custom wigs are made specifically for the client, they may not be eligible for refund, exchange, cancellation, or store credit once consultation, fit confirmation, materials ordering, customization, production, or processing has begun.
Private Label Services
WigMD may offer private label options to approved salon partners.
Private label services are subject to approval and may include:
- Product sourcing support
- Wig customization
- Packaging support
- Branding consultation
- Product selection guidance
- Business support resources
Private label eligibility, pricing, timelines, minimums, and requirements may vary.
WigMD reserves the right to approve, deny, limit, or discontinue private label services at any time.
Wholesale and Bulk Orders
Salon partners may be eligible for wholesale, bulk, or volume-based ordering.
Wholesale or bulk terms may vary based on:
- Product type
- Order quantity
- Monthly volume
- Customization level
- Hair availability
- Production timeline
- Payment history
- Account standing
- WigMD approval
Wholesale, bulk, and discounted orders may be final sale unless WigMD confirms an eligible craftsmanship error or another exception required by law.
Payment Terms
All salon partner orders must be paid according to WigMD’s Payment Policy.
WigMD may require:
- Full payment before processing
- Deposit before production
- Payment before shipping
- Approved payment method
- Verified billing information
- Cleared payment before release
- Additional verification for high-value orders
WigMD reserves the right to delay or cancel orders if payment cannot be verified.
Taxes, Resale, and Business Compliance
Salon partners are responsible for understanding and complying with all laws, rules, taxes, licenses, resale requirements, and professional obligations that apply to their business.
Salon partners are responsible for:
- Business licensing
- Sales tax obligations
- Resale certificate requirements
- Local regulations
- Professional licensing, when applicable
- Client disclosures
- Advertising compliance
- Privacy obligations
- Recordkeeping
WigMD is not responsible for a salon partner’s tax, licensing, legal, or business compliance obligations.
No Unauthorized Resale
Salon partners may not resell WigMD products through unauthorized channels without written permission.
Unauthorized channels may include:
- Third-party marketplaces
- Marketplace apps
- Auction sites
- Unauthorized websites
- Discount reselling platforms
- Social media shops using misleading claims
- Any channel that damages WigMD’s brand reputation
WigMD may terminate the partnership if unauthorized resale is discovered.
Returns, Refunds, and Exchanges
Salon partner purchases are subject to WigMD’s Refund & Exchange Policy.
Certain items may be final sale, including:
- Custom wigs
- WigMD Artisan Custom wigs
- Medical wigs
- Cranial prostheses
- Oak by WigMD items once processing begins
- Wholesale orders
- Bulk orders
- Private label orders
- Sale items
- Clearance items
- Final sale items
- Altered or customized products
- Opened personal care items
- Opened adhesives, solvents, or liquid products
Refunds, exchanges, store credit, repairs, or replacements may be limited based on order type, item condition, and policy terms.
Warranty and Craftsmanship Claims
WigMD stands behind verified craftsmanship.
Warranty claims are reviewed according to WigMD’s Warranty Policy.
Salon partners must not promise a refund, replacement, repair, or warranty approval on behalf of WigMD.

All repair requests must be approved before any wig is shipped or submitted to WigMD.
Salon partners may not guarantee repair eligibility, repair results, repair timelines, warranty approval, or restoration outcomes.
Customer Service and Communication
Salon partners should communicate professionally with clients and WigMD.

Salon partners should not make unauthorized promises regarding:
- Refunds
- Exchanges
- Repairs
- Warranty claims

- Production timelines
- Product availability
- Insurance approval
- Medical documentation

- Commissions

Confidential Information
Salon partners may receive confidential or non-public information from WigMD, including pricing, partner materials, training resources, product information, business processes, client support resources, wholesale terms, private label details, or marketing materials.
Salon partners may not share confidential WigMD information without written permission.
Confidential information may not be:
- Posted publicly
- Shared with competitors
- Used for unauthorized resale
- Used to create competing materials
- Copied into another brand’s content
- Distributed after the partnership ends
Program Changes
WigMD may update, change, pause, or discontinue the Salon Partner Program at any time.
Changes may apply to:
- Eligibility
- Discounts
- Pricing
- Product access
- Commission terms, if applicable
- Private label options
- Wholesale options
- Marketing permissions
- Program tiers
- Application requirements
- Brand rules
- Training resources
Continued participation after program updates means the salon partner accepts the updated terms.
Account Suspension or Termination
WigMD may suspend or terminate a salon partner account at any time for reasons including:
- Policy violations
- Fraud concerns
- Discount misuse
- Self-referrals
- Unauthorized advertising
- Unauthorized resale
- Misrepresentation of WigMD
- False medical or insurance claims
- Brand misuse
- Client complaints
- Payment issues
- Chargebacks
- Unprofessional conduct
- Confidentiality violations
- Any conduct WigMD determines may harm clients, WigMD, or the WigMD brand
Upon termination, salon partners must stop using WigMD branding, marketing materials, partner discounts, referral links, confidential materials, and any other program benefits.
Limitation of Liability
To the fullest extent permitted by law, WigMD is not responsible for indirect, incidental, special, consequential, or punitive damages related to salon partner participation, client referrals, product purchases, shipping delays, client disputes, partner advertising, third-party services, or business outcomes.
WigMD is not responsible for a salon partner’s business losses, client dissatisfaction caused by partner conduct, improper product use, unauthorized claims, or failure to follow WigMD policies.
Final Decision
WigMD reserves the right to make the final decision on salon partner eligibility, discounts, commissions if applicable, order acceptance, brand use, warranty eligibility, repair eligibility, private label access, wholesale access, and program participation.
